The leadership team can focus on pedagogical leadership, Larus supports in the background

The English School is a bilingual private school in Helsinki, founded in 1945. Its pathway covers two-year pre-primary, basic education and upper secondary.

Larus takes ownership of workstreams that demand specialist knowledge and time, and that the leadership team rarely has time to focus on properly in a busy everyday routine. These include tendering, contracts, licensing, financial models and technology solutions.

Every project is a workstream of its own. Each one establishes the current situation and the legal framework, and alternative ways of implementation are compared together with the school.

Projects are always taken through to the end: either into practice or to a reasoned proposal on next steps for the leadership team or the board. Staff are involved wherever decisions affect their work.

True to its service promise, Larus has delivered exactly the added value we need in the busy everyday life of our school. Our administrative staff can run the day-to-day, but for larger development projects Larus' flexible additional resource has been an invaluable solution.

Tendering of occupational health services

Larus tendered the school's occupational health services among four providers. Offers were compared on unit prices and on a calculated total cost based on actual visits over the previous three years.

Alongside the comparison report, Larus set out the requirements of the Occupational Health Care Act that the contract must include.

Early childhood education alongside pre-primary

The school has not been able to offer care alongside its four-hour pre-primary day, and some families have chosen another school as a result. Larus assessed outsourcing against an in-house service, negotiated with kindergarten providers and, together with the leadership team, arrived at providing early childhood education as the school's own operation.

Larus prepared the staffing and cost calculation, a parent survey, the board proposal and a plan for registration with the Finnish Licensing and Supervision Agency. The kindergarten opens in the school's new building in August 2027.

Tendering of catering, cleaning and facility services

Three support services for the school's new building were procured as a single package, so the leadership team does not need to coordinate three separate suppliers.

Larus ran the full procurement: call for tenders and service descriptions, bidder questions, comparison of five offers, the negotiated procedure and the proposal to the board. The chosen model is clearly below the school's previous cost level.

ICT strategy and edtech procurement

Different school levels have used different devices, software and practices. Larus leads an ICT team with teachers from every school level and is building a shared ICT strategy for the school.

The work began with a staff study trip to Bett UK 2026 and continues with an ICT audit, infrastructure workshops, a mapping of teachers' pedagogical needs and pedagogical guidelines. The outcome is a consistent classroom setup and the ICT and AV procurement for the new school building.

Application to amend the basic education licence

The school's education licence capped intake at a fixed number that matches neither demand nor the capacity of the new school building. Together with the school, Larus prepared an application to the Ministry of Education and Culture to tie pupil numbers to the building's capacity and update the place of instruction.

The application includes a review of regional demand and provision, a pupil number forecast, and annexes on facilities, staff and finances.

Budget and financial management development

With the finance manager, Larus is preparing the budget for 2027 and the 2027–2028 school year. It covers staff, property and procurement costs, investments, a risk buffer, and the planning of teaching hours and staffing. The cost impact of moving into the new building is addressed separately.

Larus also redesigned the chart of accounts so that costs are allocated by content and reporting is simpler. The result is a forecasting model the school uses independently in the years ahead.

Study trip to Bett UK 2027 and AI strategy

Larus plans and leads a staff study trip to London in January 2027. The theme is AI in schools. The programme includes exhibition days, a school visit and a workshop that starts work on the school's AI strategy.

Approach

How Larus works

Decision-ready proposals

The leadership team and the board receive comparisons, calculations and a recommendation as one reasoned proposal.

Total cost decides

Procurement is built on the school's needs and the cost over the full contract period, not unit price alone.

Pedagogy first

Technology, services and finances are planned to support teaching, with staff involved in the solutions.
